Manage your knowledge bases: edit details, visibility & delete

Knowledge Bases3 min read · Updated 2 months ago

Everything about an existing knowledge base except its type can be changed from the Knowledge Bases page. Each row shows the name, a Public or Private badge, and an actions menu with View, Edit, and Delete.

Edit a knowledge base

  1. Go to Knowledge Bases in the admin sidebar.
  2. Open the actions menu at the end of the row.
  3. Choose Edit.
  4. Change the Name, Slug, Description, or the Public toggle.
  5. Click Save Changes.
A knowledge base's type (Help center, Developer docs, or Changelog) is locked at creation and cannot be changed here or anywhere else. The type cards in the edit form are shown for reference only. See Create a knowledge base & choose its type.

Make a knowledge base public or private

The Public toggle in the edit form controls who can read the site.

SettingWho can read it
Public onAnyone with the link
Public off (private)Only visitors signed in as a member of your company

Two things follow from making a knowledge base private:

  • Custom domains serve public knowledge bases only, so a knowledge base that was assigned to a domain is removed from that domain the moment it goes private. Make it public again and reassign it if you change your mind. See Serve knowledge bases on a domain.
  • The Public or Private badge on the row updates straight away, so the list always shows the current state.

If a row carries a Plan limit indicator, the knowledge base has been hidden because your plan no longer covers it. Upgrading your plan restores it; there is nothing else to do.

Delete a knowledge base

  1. Go to Knowledge Bases.
  2. Open the actions menu at the end of the row and choose Delete.
  3. Confirm with Delete.

The delete only goes through when both conditions are met:

  • The knowledge base is empty. Move or delete every article and category first. For a developer docs site that also means its API references, and for a changelog it means its entries.
  • It is not the default knowledge base. The default cannot be deleted, and its row does not offer Delete at all.

Deleting is permanent. If you are retiring a knowledge base, clear out its content, then delete it.
