Once a knowledge base has more than a page of articles, the search box and the two filter dropdowns at the top of the article list are the fastest way to reach the one you want, or to build a selection for a bulk action.
Search
Type in the Search by article title box. The list narrows as you type, matching against each article's title and excerpt.
Filter by status
The status dropdown offers:
| Filter | Shows |
|---|---|
| Active (default) | Everything except archived and trashed articles |
| Draft | Drafts only |
| Published | Live articles only |
| Unpublished changes | Published articles with edits that are not live yet |
| Archived | Archived articles |
| Trash | Trashed articles, with their deletion countdown |
The status filter is stored in the page URL, so a bookmarked or shared link opens the same view.
Filter by category
The category dropdown narrows the list to one category. Choose Uncategorized for articles that have not been filed anywhere yet.
When you pick a single category with no search or status filter, the list shows that category in the order readers see it on your knowledge base.
Read the status column
Each row carries a status chip, and some extra markers:
- A dot next to Published means the article has unpublished changes. See Edit a published article safely.
- 12d left on a trashed row is the days until it is deleted forever. See Trash: delete, restore & the 30-day purge.
- Hidden by plan limit means the article is published but not live because you are over your plan's published-article cap.
From a filtered list to a bulk action
Filters and bulk actions work together: filter to Draft and click Select all matching in the bulk bar to publish every draft, or filter to a category and archive the whole set in one go. See Bulk actions.
