Manage your plan: overview, upgrade & downgrade

Billing & Plans3 min read · Updated 2 months ago

Your plan, seats, payment method, and invoices all live in Settings > Billing. Only Owners can open it; other roles are redirected to General settings.

Plans & billing
Your plan, seats, payment method, and invoices, all managed from one page in Settings.

What the Billing page shows

  • Current plan card: the plan name with a status badge (Active, Trialing, Past due, Canceled, or Incomplete), the monthly price, and the next date that matters: "Renews", "Trial ends", or "Cancels on".
  • Usage gauges: paid seats, viewer seats, knowledge bases, and (on plans that cap them) published articles, each measured against your plan's limit.
  • Seats: a stepper for buying or removing add-on seats on plans that sell them. See Seats: buy add-ons & understand the limits.
  • Payment method and Invoices. See Payment methods & invoices.

Two buttons on the plan card do most of the work: Manage billing opens the Stripe billing portal (card, invoices, cancel or resume), and Change plan opens the plan picker.

Upgrade or downgrade between paid plans

  1. Click Change plan.
  2. Compare the plan tiles. Compare plans in full opens the pricing page in a new tab.
  3. Click Choose [Plan] on the plan you want.
  4. In the Switch to [Plan]? dialog, click Confirm change.

The switch takes effect immediately, in both directions. The price difference is prorated against your current billing period and settled on your next invoice, so you are never charged twice for the same days. Your total seat allowance stays the same across the change; HelpBento recalculates how many add-on seats that means on the new plan and bills them at the new plan's seat price.

Moving to a smaller paid plan does not suspend or hide anything. The smaller limits apply from that moment, so if you are over a cap you cannot publish more articles or invite more members until usage is back under it. Check the usage gauges before you downgrade.

During a trial, plan changes also apply immediately: your trial continues on the new plan and the first charge lands when the trial ends.

Moving to Free

Free is not a plan you switch to. It is where your workspace lands when a paid subscription ends. To move to Free, cancel from Manage billing: you keep your paid plan until the end of the billing period, then land on Free. If your usage is above Free's limits, the Free tile warns you first: extra knowledge bases and articles over the cap are unpublished, and custom domains are turned off.

Enterprise

Enterprise is priced per contract, so its tile shows Talk to sales instead of a switch button. It opens an email to sales@helpbento.com.
