Payment methods & invoices (incl. past-due payments)

Billing & Plans2 min read · Updated 2 months ago

Your card and invoice history show on Settings > Billing, and any change to them happens in the Stripe billing portal, which the page opens for you. Only Owners can access billing.

Update your card

  1. Go to Settings > Billing.
  2. In the Payment method card, click Update. If no card is on file yet, the button reads Add payment method.
  3. Replace the card in the billing portal, then return to HelpBento.

The card on file is shown by brand, last four digits, and expiry date.

Invoices

The Invoices table lists every invoice with its date, number, amount, and status. View opens the hosted invoice in a new tab; where a PDF is available, PDF downloads it. Invoices appear after your first payment, so a workspace on a trial or on Free has none yet.

When a payment fails

A failed renewal does not lock you out straight away. Here is the sequence:

  1. Your plan status changes to Past due, and a banner appears at the top of Billing: "Your last payment failed. Update your payment method to keep your subscription active." Click Update payment to fix the card in the portal.
  2. The workspace Owner receives an email with the amount owed and, when one is scheduled, the date of the next automatic retry.
  3. You keep full access for 14 days after the end of the unpaid billing period while the payment is retried. As soon as a retry succeeds, the status returns to Active on its own.
  4. If no payment has gone through after those 14 days, the workspace drops to a read-only floor: your content and public help center stay online, but paid features and creation limits are switched off until payment succeeds.
  5. If the subscription is eventually cancelled for non-payment, the workspace lands on the Free plan. See The Free plan & plan limits.
Incomplete is different: it means the very first payment never went through, so the subscription did not start and the workspace is restricted immediately. Fixing the card and completing the payment resolves it.
