Roles & permissions: who can do what

Team & Permissions3 min read · Updated 2 months ago

Every member of your workspace has one of four roles: Owner, Admin, Editor, or Viewer. The role decides which parts of the admin app they can open and what they can change. You pick a role when you invite someone, and you can change it later from Settings > Members.

Roles & permissions
Four roles, from Owner to Viewer, decide what each member of your workspace can open and change.

The roles at a glance

OwnerEverything, including billingPaid seat
AdminEverything except billingPaid seat

ViewerRead-only content and analyticsFree viewer seat

Owners, Admins, and Editors draw from your plan's paid seats. Viewers use a separate pool of free viewer seats, so read-only stakeholders never cost you a paid seat. See Paid seats vs free viewer seats.

The same list appears inside the app whenever you choose a role: both the invite modal and the Change role modal show what the highlighted role can do, so you always see what you are granting before you confirm.

Owner safeguards

  • Only an Owner can grant the Owner role, and only an Owner can change the role or status of another Owner. An Admin sees no actions on Owner rows.
  • A workspace always keeps at least one active Owner. The last Owner cannot be demoted or suspended; assign another Owner first.
  • You cannot change your own role. Ask another Owner or Admin.

Change a member's role

  1. Go to Settings > Members.
  2. Open the row menu on the member and choose Change role….
  3. Pick the new role. Each option is tagged Paid seat or Free seat, and the panel underneath lists what that role can do.
  4. Read the footer. If the change moves the member between the paid and viewer pools, it shows the effect on your seats, for example "3 of 5 used after change".
  5. Click Change to [Role].

The new role applies immediately and the change is recorded in the activity log.

A role that needs a seat you do not have is greyed out with the reason (for example, all paid seats are in use). Free a seat, buy more, or upgrade, then try again. See Seats: buy add-ons & understand the limits.
