Manage, edit & reorder categories

Categories2 min read · Updated 2 months ago

Once you have a handful of categories, this is where you keep them tidy: find one quickly, change its details, set the order readers see, and understand the article counts on each row.

Find a category

The Categories page has a search field above the list. Type part of a name to filter the list down to matching categories. Clear the field to see every category again.

Edit a category

  1. Go to Categories.
  2. Open the actions menu at the end of the category's row.
  3. Choose Edit.
  4. Change the name, description, parent category, or icon.
  5. Click Save Changes.

Changing the Parent category moves the category to a different place in the tree. See Create categories & subcategories for the nesting rules.

Reorder categories and articles

Ordering lives on the Arrange page in the admin sidebar, not in the category list. Arrange shows the active knowledge base as a tree: uncategorized articles first, then each top-level category, which you can expand to see its subcategories and articles.

  • Drag a row, or use its up and down arrow buttons, to change its position.
  • Ordering stays within each group. You can reorder categories among their siblings and articles within their category, but you cannot drag an item into a different category. To change a category's parent, edit it instead.
  • Each move saves immediately. If a save fails, the row snaps back and you see a message.

The order you set on Arrange is the order readers see on your public site.

Article counts: published versus total

Each row in the category list shows a count such as 3/5 articles. The first number is how many of the category's articles are published (what readers can see); the second is the total including drafts. Both numbers include articles in the category's subcategories.

A category appears on your public site as soon as it has at least one published article. Publishing an article in a category that was not visible yet makes the category visible too; there is no separate step to publish the category itself.
